Adding contacts and contact data |
Pocket eSchool has a feature which enables you, should the need arise, to add some private contact data for any person listed in the handheld. This contact data can be additional phone numbers, addresses, and notes. It is also possible to add new contacts for any student, teacher, or staff member. For example, you could add very private contact data such as probation officers, previous spouses, non-custodial parents who's names and contact data ought not to appear anywhere else. These new contacts can also have any number of phone numbers, addresses, and notes. Because this data is private, it is not visible on anyone else's handheld or on the SIS. The newly added data permanently remains on your handheld until you choose to remove it. It is never overwritten with downloaded data from the SIS.
The following set of screen shots illustrate the process of adding a new contact, phone number, and note. In addition, a phone entry is edited to correct an error.
Table 2-14: Adding some contact data
![]() | Figure 2-119 Anne Baye is a student who has only one contact, her father, Landon Baye. The contacts page has a hidden menu behind the form's heading text Contacts: Baye Anne. Tapping this text brings up the contacts menu, as shown in Figure 2-120. |
![]() | Figure 2-120 The contacts edit menu is used for adding new persons or editing previously added persons. Contact data downloaded from your SIS cannot be edited. In addition, a note, phone number, and address can be added to a previously added person or anyone downloaded from your SIS. Tapping the Add Person menu entry, launches the Add Person form, as shown in Figure 2-121. |
![]() | Figure 2-121 The Add Person form contains two data items that need data entered: the relationship and the person's name. |
![]() | Figure 2-122 Both the contact's relationship and name can be added using the software keyboard. |
![]() | Figure 2-123 Here is the Add Person form after the two entries have been made. Tapping the Save button saves the newly added data and redisplays the contacts form for Anne Baye. |
![]() | Figure 2-124 Now Janet Baye appears as a contact for Anne Baye. To add a phone number for Janet Baye, Janet first needs to be selected, as is the case in Figure 2-124. Next, from the contacts edit menu, the Add Phone menu item needs to be tapped. This launches the Add Phone form, as shown in Figure 2-125. |
![]() | Figure 2-125 The Add Phone form is similar to the Add Person form in Figure 2-121. Its method of data entry is exactly the same as in the Add Person form by using the software keyboard. |
![]() | Figure 2-126 This is the completed phone add form, showing the newly added phone type and phone number for the mother, Janet Beye. Tapping the Save button saves the newly added data and redisplays the contacts page for Anne Baye. |
![]() | Figure 2-127 When Janet Baye is selected, her contact information, the newly added phone number, is shown in the lower grid. |
![]() | Figure 2-128 A text note can be added for Janet Baye by selecting the Add Note menu item, in Figure 2-120, and then entering the note text by using the software keyboard. Figure 2-128 shows the Add Note form with data already entered in the Note Name and Note Text data items. Tapping the Save button, saves the data and redisplays the contact data for Janet Baye, as shown in Figure 2-129. |
![]() | Figure 2-129 This now shows the two newly added contact data entries for the newly added contact, Janet Baye. This all looks good, except for the phone caption, Home. This should really be Home Phone. Tapping the Home entry launches an edit for the home phone entry. |
![]() | Figure 2-130 Here, the caption can easily be edited to contain the text Home Phone. |
![]() | Figure 2-131 Tapping the Save button, in Figure 2-130, saves the edit and redisplays the contact data for Janet Baye. |
